Monthly Payroll Coordination

Monthly payroll preparation and coordination

Your accountant or payroll bureau continues to calculate and process payroll. SolinasHR manages the employer-side coordination needed to get accurate, approved information to them and keep exceptions visible.

What the service covers

A controlled route from operational records to payroll hand-off

  • Collecting hours, overtime and approved changes
  • Checking attendance, absence and holiday information
  • Maintaining starter, leaver and pay-change records
  • Managing cut-offs, approvals and outstanding items
  • Preparing an agreed input file or tracker
  • Coordinating provider queries and corrections
  • Checking output against the agreed hand-off and surfacing exceptions
  • Maintaining action, approval and handover records

How it works

Gather → Check → Coordinate → Review → Report

GatherAgreed information comes into one controlled route.

CheckMissing items and obvious inconsistencies are surfaced early.

CoordinateCut-offs, chasers, provider questions and corrections are tracked.

ReviewThe hand-off and provider output are compared for agreed exceptions.

ReportActions, recurring issues and approvals remain visible.

Starting prices

A fixed monthly fee once the workflow is understood

Headcount is a guardrail, not the pricing engine. Pay frequency, variability, information sources, corrections and the amount of chasing/checking matter more.

ESSENTIAL

£325/month

For a relatively simple monthly workflow with low variation and a small number of information sources.

  • Typically around 3–4 direct service hours
  • Monthly payroll
  • One agreed workflow, entity and provider

COMPLEX

£650/month

For higher variability, several managers, frequent changes or heavier checking and reporting.

  • Typically around 6.5–9 direct service hours
  • Higher coordination load
  • Manual scope review where complexity exceeds this model
Initial setup / Payroll Readiness Reset: from £495. Fortnightly, weekly, extra-entity, extra-provider, urgent and out-of-cycle requirements are scoped separately before work begins.

SolinasHR is not VAT registered. No VAT is charged. Setup is only charged where required and agreed in advance; it does not apply to every engagement.

Where it tends to fit

Usually strongest where the payroll provider is not the real bottleneck

  • Roughly 10–50 PAYE employees, subject to workflow complexity.
  • Payroll already processed by an accountant, bookkeeper or payroll bureau.
  • Variable hours, shifts, overtime, absence or frequent employee changes.
  • Information arrives from several managers, systems or spreadsheets.
  • No dedicated internal payroll coordinator owns the whole preparation process.

Common questions

Help with payroll administration

Can you help me prepare payroll information for my accountant?

Yes. SolinasHR provides payroll preparation support alongside your existing accountant or payroll bureau. I gather agreed hours, overtime, absence and employee changes, check for missing information and coordinate the hand-off. Your provider continues to calculate and process payroll, and your business approves the information and final payroll.

What does payroll admin support cover each month?

The agreed scope can include chasing late inputs, organising hours and approved changes, tracking starters and leavers, managing deadlines and following up provider queries. Payroll coordination gives this employer-side work a clear owner; it does not replace your payroll provider.

Is this payroll support suitable for a small business?

It can be, particularly when payroll is already outsourced but preparation and checking take too much internal time. The fit depends on pay frequency, information sources and the amount of change, rather than headcount alone. The Workflow Review is a starting point before agreeing a scope and fee.

A practical first conversation

Which part of the payroll hand-off takes the most time?

Tell me who currently processes payroll, how often you pay, roughly how many PAYE employees you have and where the internal coordination becomes difficult.
